💼 Role Overview: Med Spa Office Manager

We’re seeking a polished, organized, and customer-obsessed Med Spa Office Manager to oversee day-to-day operations, front desk management, and client flow at our high-end med spa. This role is perfect for someone with leadership experience in medical aesthetics, luxury wellness, or hospitality who thrives in a detail-driven, people-focused environment.

You’ll be the face of our spa and the heartbeat of its operations—setting the tone for five-star service and coordinating behind the scenes to ensure everything runs like clockwork.

🔍 Key Responsibilities

• Client Experience Management
• Deliver personalized, high-touch service to ensure every guest feels informed, pampered, and valued.
• Front Desk & Appointment Coordination
• Oversee daily scheduling, manage appointments, cancellations, and front desk flow to maintain operational efficiency.
• Team Leadership & Culture
• Foster a professional, positive, and supportive environment where team members thrive and collaborate.
• Inventory Oversight
• Monitor and maintain product and supply levels for treatments, skincare retail, and medical materials.
• Marketing Collaboration
• Partner with leadership and marketing to support promotions, in-spa campaigns, and client engagement initiatives.
• Administrative & Tech Proficiency
• Use EMR, scheduling, and POS systems to ensure smooth client data management and operational reporting.

✅ Ideal Candidate Profile

• 3+ years experience in med spa management , luxury hospitality , or wellness clinic operations
• Strong knowledge of client service best practices within high-end or clinical settings
• Exceptional communication, multitasking, and organizational skills
• Experience using front desk software, EMR systems, and appointment platforms
• Professional presentation and a client-first mindset
• Fluent in English; additional languages a plus
• Reliable transportation to Bee Cave, TX location
