Job Description:

Manager, Physical Security - The Auto Club Group

What you will do:

The Manager of Physical Security is responsible for protecting ACG's facilities, assets, and personnel through effective security programs and measures across all locations. This role enforces physical security policies and procedures, manages guard operations and security systems, and ensures compliance with corporate security standards and regulatory requirements. The Physical Security Manager leads efforts to implement security plans and procedures to protect the organization's employees and assets, coordinating security operations at office campuses, data centers, branches, and other sites. They work closely with site leadership and the SOC to prevent unauthorized access, theft, workplace violence, or any physical threats. This manager also oversees security vendors (such as guard services) and continuously assesses and improves the physical security posture of ACG, aligning it with best practices.

Key Responsibilities:

Security Policy: Oversees and ensures compliance with all physical security policies, procedures, and programs for ACG facilities. This includes access control policies, visitor management procedures, badge and credentialing standards, and incident reporting protocols. Regularly reviews policies to adapt to evolving threats and business needs, and ensure consistent implementation company-wide.

Site Security Operations: Oversees daily physical security operations across all ACG sites (corporate offices, branches, data centers, etc.). Coordinates and direct the activities of security personnel (proprietary or contracted guards), ensuring they are effectively protecting employees, visitors, and assets while providing excellent customer service. Sets post orders and guard tour routes, and adjust security coverage based on risk assessments and business operations (e.g., special events, high-risk periods).

Personnel Management and Training: Leads the proprietary security team, including hiring qualified personnel, providing ongoing training, and mentoring for professional development. Sets performance goals for the team and regularly evaluate staff against key metrics such as incident response time, accuracy of assessments, and adherence to procedures. Develops a training program that covers technical skills, scenario drills, and soft skills (communication under stress), to maintain a high-performance team that can adapt to emerging threats.

Risk Assessment & Mitigation: Conducts physical security risk assessments and vulnerability audits for ACG facilities on an as needed basis. Identifies potential security weaknesses (such as access vulnerabilities, perimeter breaches, CCTV blind spots) and implement mitigation strategies - for example, improved lighting, additional cameras, reinforced entry controls, or procedural changes. Develops security plans for high-risk scenarios (such as civil unrest near a location or increased crime trends) to preempt incidents.

Incident Response & Investigations: Establishes and trains teams on procedures for on-site incident response (for incidents like unauthorized entry, aggressive individuals, lost/stolen property, etc.). When security incidents occur at a facility, coordinates initial response (e.g., guard intervention, lockdown, evacuation) and ensures incidents are reported to the SOC and logged. Oversees on-site preliminary investigations for minor incidents (theft, policy violations) and collaborates with the Special Investigations Unit for complex cases or those involving employees. Provides after-action reports and recommend security improvements post-incident.

Vendor and Contract Management: Manages relationships with third-party security vendors, including contract security guard companies. Develops clear performance metrics and service level agreements (SLAs) for these vendors. Monitors vendor performance and budget, approve invoices, and conduct periodic reviews or re-bidding to ensure ACG receives high-quality, cost-effective security services.

Law Enforcement & Stakeholder Liaison: Serves as the primary liaison between ACG's physical security function and local law enforcement or emergency responders for each region. Coordinates information-sharing and emergency response plans with police and fire departments (for example, providing them facility layouts or access in case of a major incident). Internally, works closely with Facilities/Real Estate teams on security design for new offices or renovations, and with HR on workplace safety or employee issues that have security implications.

Training and Awareness: Develops training programs and guidelines for employees and contractors on physical security. This may include new employee orientation on security procedures, active shooter/armed intruder drills, evacuation drills (in coordination with Resilience & BC Manager), and general security awareness communications. Ensures security staff (guards, reception personnel) receive adequate training in emergency response, customer service, report writing, and use of security equipment.

Budget & Resource Allocation: Manages the budget for physical security operations, including personnel, equipment, and maintenance costs. Makes data-driven recommendations for security investments (such as enhanced systems or additional staffing) by demonstrating risk reduction or compliance benefits. Ensures the optimal use of security resources - for example, adjusting staffing levels by analyzing incident patterns and foot traffic. Tracks key metrics such as security incident frequency, response times, and guard force performance to gauge effectiveness and drive continuous improvement.

Compliance and Auditing: Ensures that physical security practices comply with relevant regulations and standards. Coordinates audits or self-assessments of physical security programs. Immediately addresses any audit findings or gaps and report compliance status to senior leadership. Maintains documentation such as security plans, visitor logs, and access control records as required by policy or law.

Strategic Planning: Works with the Director to align physical security initiatives with broader enterprise risk management and resilience goals. Contributes to long-term security planning, such as designing security for new business ventures or emerging risks. Stays current on industry best practices and technologies for physical security and introduces relevant innovations to ACG's program.
