Job Description

A Boutique Activist Investment Management Firm is seeking a new Full-Time/Permanent Executive/Personal Assistant to support one of its Co-Founders/Managing Partners. Candidates must have a minimum of 5+ years of applicable executive administrative experience supporting a top-level/C-level Executive, ideally within financial services but open to corporate backgrounds, and a Bachelor’s degree is required. Ideal candidates should be reliable, polished, professional, moldable, and possess a “no task is too big or small”/“all hands on deck” mentality and excellent interpersonal and communication skills (both verbal and written). They should also have strong Microsoft Excel skills and exposure to AI would be a huge plus.   • Salary depends on experience (120-150k base), plus discretionary bonus eligibility.
  • Hours are 8:30am-5:30pm, with flexibility. Hybrid work schedule (4 days in office / 1 day remote).

Responsibilities:

  • Provide high-level executive business and personal administrative support to Co-Founder/Managing Partner.
  • Schedule and organize extensive internal and external meetings, conference/video calls, and appointments; create agendas and prepare and distribute meeting materials; manage and maintain busy and ever-changing calendars, both business and personal, always being one step ahead.
  • Coordinate complex domestic and international travel arrangements and detailed itineraries, both business and personal, including commercial flights and private aviation, hotel accommodations, car services/ground transportation, dining reservations, etc.
  • Provide personal administrative support, including liaising with family and scheduling children’s medical appointments, after school activities, personal appointments, filling out summer camp forms, etc.
  • Assist with ad hoc projects and administrative duties, including stocking refrigerator, emptying dishwasher, ordering fresh direct, etc.

Required Qualifications:

  • Minimum 5+ years of applicable executive administrative experience supporting a top-level/C-level Executive, ideally within financial services but open to corporate backgrounds.
  • Bachelor’s degree required.
  • Someone reliable and moldable/not set in their ways.
  • Extremely polished and professional with a flexible, positive attitude.
  • Strong proficiency in Microsoft Office Suite, particularly Excel (be able to pull and summarize data). Exposure to AI is a huge plus. Someone who wants to learn the analytical side a plus.
